What a complete invoice should include

A clear invoice gives the client enough information to identify the work, confirm the amount due, and pay on time.

Most invoices should include the seller and client names, invoice number, invoice date, due date, line item descriptions, quantities, rates, taxes, discounts, total, balance due, and payment instructions.

Freelancers, consultants, small agencies, and one-person businesses often need a clean invoice before they need a full accounting system. The most important habit is consistency: use invoice numbers, keep line item descriptions specific, and make the payment terms obvious.

For tax, legal, or bookkeeping requirements, use the rules for your location and business type. This generator helps format the document, but it does not decide whether you should charge sales tax, VAT, GST, late fees, or required registration numbers.

How totals are calculated

The invoice totals are calculated from the line items and adjustments you enter, then formatted in the selected currency.

Each line amount is based on quantity multiplied by rate. Line tax is calculated from the line amount and that line's tax rate, then discounts, shipping, fees, and previous payments are applied to produce the balance due.

Use the PDF preview before sending an invoice to check names, dates, invoice number, payment instructions, and currency. Those details are easier to fix before the invoice is in a client's inbox or bookkeeping system.
